Basically, the Team Manager is responsible for working with the Head
Coach to ensure that all facets of running the team are covered. Some
Head Coaches like to do some or most of this themselves. The Team Parent
or other parents might help with one or more aspects. Nearly all involve
close communication with the Head Coach. The bottom line is to make sure
it’s understood who’s covering it if you want it to be covered.
A list of duties not specific to coaching follows:
- Schedule non-league games (including house tournaments) and negotiate
cost share.
- Schedule non-PCYHA-covered practices (thru PCYHA Scheduler or directly
with Arena).
- Collect monies from parents for (1) and (2) and as otherwise needed
and submit to PCYHA Treasurer.
- Get checks as needed from PCYHA Treasurer for out of town functions.
- Recruit teams for PCHYA house tournament.
- Maintain and carry a copy of all team paperwork:
- Official (signed) team roster;
- Player “Consent To Treat” forms, Medical Histories,
Birth Certificates, and IMRs;
- Coach cards (have a copy of front and back). (I recommend both
the Head Coach and the Team Manager have copies of all forms.)
- Finalize roster, initiate roster changes, etc. w/ PCYHA Registrar.
- Prepare and print roster labels and prepare game scoresheets using
same. It’s helpful if roster labels include the CEP number, CEP
level, and year obtained for all coaches.
- Work w/ PCYHA Scheduler to set practice time (trying to accommodate
the most team members).
- Ensure compliance w/ PCYHA rules and regulations.
- Maintain statistics on the team if desired.
- Write press releases and submit to the newspapers and webmaster if
desired. Specific to out-of-town events:
- Reserve hotel rooms and communicate to team.
- Ensure all team members have transportation.
Specific to in-town events (especially pick up games):
- Ensure score box is covered.
- Ensure scoresheets are available.
- Ensure game pucks are available.
Miscellaneous
- Maintain water bottles.
- Maintain first aid kit.
- Maintain helmet repair kit and other supplies such as extra mouth
guards, tape, etc.
- Coordinate picture packets.
As stated above, in most cases the Head Coach covers some of these functions,
while the Team Parent covers others. The Team Manager should review the
list with the Head Coach and the Team Parent to discuss who will be the
primary person responsible for those duties they deem important.
